1. Introduction
Global Therapy Group SG Pte Ltd ("Global Therapy Group", "we", "us" or "our") is committed to protecting your privacy and handling your personal information securely, responsibly and confidentially.
This Privacy Policy explains what information we collect, how we use it, who we share it with, how long we keep it and your rights under applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy applies to our counselling websites, online booking services and related communications.
2. Who We Are
Global Therapy Group SG Pte Ltd is incorporated in Singapore.
Company registration number: 202420918K

We provide counselling and therapy services through qualified, independent, self-employed therapists based in the United Kingdom.
Global Therapy Group is responsible for the personal information used to manage enquiries, bookings, payments and related administration.
Independent therapists maintain their clinical records separately from our booking platform and are responsible for handling those records in accordance with their professional and applicable data protection obligations.
3. Information We Collect
Depending on how you use our services, we may collect:
- Your name, email address and telephone number.
- Information needed to arrange and manage appointments.
- Your chosen therapist's name.
- Appointment dates, times and booking history.
- Payment and transaction information.
- Correspondence relating to enquiries, appointments and customer service.
- Information about your reasons for seeking therapy, but only if you choose to provide this when making your first booking.
- Technical information associated with using our websites, including IP addresses, browser information and essential website functionality.
If you contact us on behalf of another person, we may also receive personal information about that individual.
We do not otherwise routinely collect information about why clients are seeking therapy.
4. Sensitive Personal Information
We recognise that information about counselling, relationships, emotional wellbeing and mental health can be particularly sensitive.
When making your first booking, you may choose to provide a brief explanation of why you are seeking therapy. This helps your chosen therapist assess whether they are appropriately qualified and experienced to support you.
Providing this information is optional, and you do not need to disclose personal or sensitive details to make a booking.
Where you choose to provide sensitive personal information, we process it with your explicit consent for this purpose and share it with your chosen therapist.
You may withdraw your consent at any time by contacting us. Withdrawal will not affect processing already carried out lawfully.
Information provided about your reasons for seeking therapy is automatically deleted from our platform records seven days after your first booking was made.
5. How We Use Your Information
We use personal information to:
- Respond to enquiries.
- Arrange and administer counselling appointments.
- Send booking confirmations, reminders and relevant appointment information.
- Facilitate communication with your chosen therapist.
- Process payments and refunds.
- Manage cancellations, rescheduling and customer service enquiries.
- Maintain the security and reliability of our booking platform.
- Comply with applicable legal, accounting and regulatory obligations.
- Respond to complaints, disputes and legitimate legal requests.
- Invite eligible clients to provide feedback about their experience.
We do not sell personal information to third parties.
We do not use information about your reasons for seeking therapy for advertising or promotional marketing.
6. Our Lawful Bases for Processing
Under Article 6 of UK GDPR, we rely on different lawful bases depending on the purpose of processing.
Performance of a contract: Where processing is necessary to arrange and administer counselling services, including bookings, appointment communications and payments.
Legal obligation: Where processing is necessary to comply with applicable legal, tax, accounting or regulatory requirements.
Legitimate interests: Where processing is necessary for legitimate business purposes, provided these interests are not overridden by your rights and freedoms. This may include responding to enquiries, maintaining appropriate administrative records, protecting our systems and inviting eligible clients to provide feedback.
Consent: Where consent is legally required for a particular activity, including certain website technologies.
Where we rely on consent, you may withdraw it at any time. This will not affect processing already carried out lawfully.
Where clients voluntarily provide special-category personal information about their reasons for seeking therapy, we rely on their explicit consent as the additional condition under Article 9 of UK GDPR.
7. Our Online Booking System
We use a secure online booking system to manage appointments and related administration.
The system stores information necessary to provide our services, including client contact details, appointment information and booking records.
To minimise the amount of sensitive information retained:
- Clients may choose whether to provide information about their reasons for seeking therapy when making their first booking.
- Where this information is provided, it is automatically deleted from our platform records seven days after the first booking was made.
- Routine client contact details and booking history are automatically deleted five years after the client's most recent appointment, unless particular records must be retained for longer for a lawful reason.
If a client returns for further therapy, the five-year retention period begins again from their latest appointment.
Information deleted from our platform records may remain temporarily in secure automated backups for up to 30 days or in historical emails subject to applicable retention arrangements.
8. Independent Therapists and Clinical Records
Our therapists are independent, self-employed practitioners who provide professional counselling services.
Therapists receive the information reasonably necessary to identify clients, manage appointments and provide therapy.
Global Therapy Group does not maintain a central database of therapists' clinical session notes.
Clinical records are maintained separately by individual therapists in accordance with their professional, confidentiality and applicable data protection obligations.
Therapists are responsible for explaining their clinical record-keeping arrangements, including retention periods and how clients may exercise their data protection rights in relation to those records.
Where appropriate, we will direct enquiries concerning clinical records to the relevant therapist.
9. Confidentiality
We treat information about clients and their use of counselling services as confidential.
Access to personal information is restricted to those who need it for legitimate operational or professional purposes.
We do not routinely disclose whether someone has attended therapy to employers, relatives, solicitors, courts or other third parties.
Information may be disclosed where:
- You have given appropriate authorisation.
- Disclosure is required by applicable law or a valid legal obligation.
- Another lawful basis permits or requires disclosure, including exceptional safeguarding circumstances.
Any request for information is considered in accordance with applicable law and our confidentiality obligations.
10. Payments
We use Stripe to process online payments.
When you make a payment, relevant transaction information is processed by Stripe in accordance with its applicable terms and privacy arrangements.
We retain appropriate payment and transaction records for accounting, refunds, dispute resolution and legal compliance.
We do not need to store your full payment card details within our booking database to administer your booking.
Stripe's privacy information is available at https://stripe.com/privacy.
11. Third-Party Service Providers
We use trusted third-party providers to operate our websites, booking system, communications and payment services.
These include providers responsible for:
- Secure website and booking-system hosting.
- Sending appointment confirmations, reminders and other administrative communications.
- Processing online payments.
- Maintaining essential website functionality and security.
These providers may process limited personal information on our behalf or act as independent organisations responsible for certain processing activities.
Appropriate data processing agreements and contractual safeguards are in place to protect personal information processed on our behalf.
12. Where Your Information Is Stored and International Transfers
Information held within our online booking system is stored on secure servers located in Sweden, within the European Union.
As Global Therapy Group operates internationally, authorised personnel may access personal information from outside the UK and European Union.
We comply with applicable UK data protection legislation, including the UK GDPR, and use appropriate contractual and data protection safeguards when personal information is transferred internationally.
Access to personal information is restricted to authorised individuals who require it for legitimate business or professional purposes.
13. How Long We Keep Information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, taking account of applicable legal, contractual and regulatory obligations.
Our retention arrangements are as follows:
Reasons for seeking therapy
If you choose to provide information about why you are seeking therapy when making your first booking, this information is automatically deleted from our platform records seven days after the booking was made.
Booking and appointment records
Routine client contact details and booking history are automatically deleted five years after the most recent appointment, unless particular records must be retained for longer for a lawful reason.
If you return for further therapy, the five-year retention period begins again from your latest appointment.
Client enquiries and administrative correspondence
We retain client enquiries and administrative correspondence for as long as reasonably necessary to manage our services, respond to queries and meet applicable legal obligations.
We periodically review and delete information that is no longer required.
Complaints and Subject Access Requests
Records relating to complaints and Subject Access Requests are retained for as long as reasonably necessary to investigate concerns, demonstrate how requests were handled and meet applicable legal obligations.
We do not routinely retain unnecessary additional copies of personal information solely because it has been provided in response to a Subject Access Request.
Safeguarding concerns and legal disputes
Relevant records may be retained for longer where necessary to meet legal obligations, protect individuals or manage actual or reasonably anticipated legal proceedings. Retention is assessed according to the circumstances.
Payment and accounting records
Financial and transaction records are retained for the period required by applicable accounting, tax and legal obligations.
Clinical records
Clinical session notes are maintained separately by independent therapists under their own professional and legal record-retention arrangements.
Automated backups
Information deleted from our platform records may remain in secure automated backups for up to 30 days before those backups expire or are overwritten.
Where a complaint, legal dispute, safeguarding matter or other legitimate concern remains unresolved, relevant records may be retained beyond their usual deletion date where necessary and lawful.
We review our retention practices and securely delete or anonymise information when it is no longer required, subject to applicable legal obligations.
14. Email Communications and Reviews
We use email and, where appropriate, other contact methods to communicate about enquiries, appointments, payments and administrative matters.
We may invite eligible clients to leave a review of their experience. Review invitations are not sent to clients who have attended only one session or where there are identified safety or safeguarding concerns.
Eligible clients may receive up to two review invitations.
These invitations are not part of a general promotional mailing list. We do not use sensitive information provided for counselling to target clients with promotional marketing.
You may contact us if you do not wish to receive review invitations.
15. Cookies and Website Information
Our websites may use cookies and similar technologies necessary for essential website functions, security and performance.
Where optional analytics, advertising or other non-essential technologies requiring consent are used, we provide appropriate information and obtain consent where required.
Details of the cookies and technologies used are available through the relevant website's cookie information or consent settings.
We do not use website session-recording software to record visitors' browsing sessions.
16. How We Protect Your Information
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
Measures used within our booking platform include access controls, restricted permissions, authentication safeguards, logging, security monitoring and security checks.
Our technology providers also apply security measures to their infrastructure.
No online system can be guaranteed to be completely secure. We review our arrangements and take reasonable steps to identify and address security risks.
If a personal data breach occurs, we will assess it and make any notifications required by applicable data protection legislation.
17. Your Data Protection Rights
Depending on the circumstances, you may have the right to:
- Request access to personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Request deletion of your personal information.

We may need to verify your identity before responding to a request.
We will respond within the time limits required by applicable data protection legislation.
